1. One front door for every lead
The single biggest mistake is letting leads come in through five channels and land nowhere. Every call, form, text, and referral goes into the CRM — every time, no exceptions. If it's not in the system, it doesn't exist, and it won't get followed up.
2. Actually use the pipeline
A pipeline only works if you move cards through it. New → quoted → won or lost. Thirty seconds of updating after each call tells you exactly where your money is sitting and which quotes are going cold.
3. Automate the follow-up
Most jobs are won on the second or third touch, and most owners are too buried to make them. Set the CRM to follow up for you — a text after a quote, a check-in a few days later. This alone often pays for the software.

7. Look at the numbers once a month
